Note: This feature is available only to administrators.
A commonly used attachment (or simply "common attachment") is created when a user adds a new attachment to a product and selects the "Make this a common attachment" option. (See Editing a Product's Attachments for details.) When this happens, the attachment becomes easily assigned to additional products and is added to the Manage Commonly Used Attachments page.
This page provides a central location where you can manage these attachments. When you edit a commonly used attachment here, your changes are saved for all products where the attachment is assigned. Edit a commonly used attachment when you need to edit any of the following properties:
Name: The attachment's name.
File Path: The path that points to the attachment file or website.
Common Attachment Status: The attachment's status as a commonly used attachment. You can revoke this status when the attachment should no longer be easily assigned to multiple products.
Automatic Popup Option: The setting that controls whether the attachment opens in a new window automatically whenever a user views a product where it is assigned. You can select or remove this option.
After you save your changes to the attachment, they take effect at all products where the attachment is assigned.
To edit a commonly used attachment:
Starting at the Manage Commonly Used Attachments page
Find the commonly used attachment you want to edit and click its name.
The attachment's editable properties are displayed.
Edit any of the displayed properties:
Name: The attachment's name.
File Path: The path that points to the attachment file or website. If you enter a new path, test its validity by clicking the view () icon; if the new path is entered correctly, this opens the attachment in a new window.
Make this a common attachment: Keep this option selected to retain the attachment's status as a commonly used attachment that is easily assigned to multiple products. Clear this option to remove this status; this does not remove the attachment from the products where it is currently assigned, but requires the attachment to be defined from scratch for any other products.
Popup automatically on product view: Select this option to have the attachment open in a new window automatically whenever a user views a product where this attachment is assigned. Clear this option to prevent this.
Click the save () icon in the lower right.
The attachment is saved with your changes, and is automatically updated on all products where it is assigned. If you cleared the attachment's Make this a common attachment check box in the previous step, the attachment is no longer a commonly used attachment and is therefore removed from the current display.
